Connected Work Terms
Effective October 29, 2026 · Version 2026-10-29
The companies and their authority
These terms govern work shared through a contractor connection in ACT Systems. The sharing company is the host; the company receiving the work is the partner. Each person sending or accepting a connection must be authorized to act for their company. The companies' own service contracts govern scope, price, payment and employment or contractor obligations. A connection does not make ACT Systems LLC a party to that service contract or make either company's people employees of the other.
Clients, sites and work records
The host remains the system of record for its client relationships, sites and work items. The partner may use information shared through ACT only to carry out, review and document the shared work and to keep legitimate business records. Neither company obtains rights in unrelated records or customer relationships by connecting. Each company must have authority to provide the information it shares and respect the rights of clients and other owners.
People and dispatch
The partner controls its own personnel records, workspace membership, lead and crew assignments. The host chooses the partner company, not the partner's individual workers. The host may keep its own people on the same job. Each company controls its own people and remains responsible for their access and conduct; reporting lines and personnel records do not cross companies.
Photos, files, answers and messages
Evidence added through the share is stored on the host's work item and counts toward the host's storage. The submitting company retains rights it already holds in that content and grants the host and ACT Systems LLC permission to store, use and display it for completing, reviewing and documenting the shared work, subject to third-party rights. This permission is not a general transfer of copyright or a right to use the evidence for unrelated purposes.
Only information made available through the share is accessible to the partner. Internal host messages, other work, client contacts and contract values are not included merely because a connection exists. Both companies must protect confidential and personal information and disclose it only for the authorized work, recordkeeping or a legal obligation. Shared-work actions are recorded in both companies' audit logs.
Submission, review and retained records
The partner submits its part for the host to approve or return with requested changes. Submission or approval in ACT does not itself decide payment, waive a claim or replace the companies' service agreement.
The partner may keep a read-only copy of what it submitted, including associated evidence, for legitimate recordkeeping and payment or service disputes after the connection ends. That right does not extend to unrelated host records or permit continued editing. The host must preserve submitted evidence needed for an unresolved dispute or legal obligation. Retention does not require duplicate storage or a second editable work item.
The companies should obtain any needed copy before deleting the underlying work item, workspace or files. Ending a connection is not a deletion request. If a retained copy is not available in ACT, contact contact@actsystems.app for help obtaining the available submitted records before deletion. Deleting the underlying records can remove in-app access to them. Retention remains subject to applicable law and third-party rights.
Ending a connection
Either company may end the connection in ACT at any time. Open shares are taken back by the host and the partner can no longer dispatch, edit or submit them. Submitted work remains available for authorized read-only recordkeeping while the underlying records are retained. Ending the connection does not transfer clients or personnel, erase earlier audit events, settle unpaid work or end a separate service agreement unless that agreement says so.
Versions and contact
ACT records the version accepted when a new connection is established. Existing connections keep their earlier recorded version; companies are not asked to accept again merely because this text is published. The Terms and Conditions and Privacy Policy also describe use of ACT. Questions about records or these terms can be sent to ACT Systems LLC at contact@actsystems.app.
